Kingsbridge Healthcare Group are currently seeking to fill the role of Procurement Administrator within the Procurement department. The successful candidate will be based at Kingsbridge Healthcare Group Main Stores, Unit 10 Falcon Way, but may be required to travel to other Company locations as and when required.

Job Summary

This role is based in Kingsbridge Healthcare Group Main Stores, Unit 10 Falcon Way, BT12 6SQ, however due to the multi-site locations within the Group, you may have to transfer or deliver stock and/or equipment between sites. The Procurement Administrator will be the key point of contact for Purchase Orders, Internal purchase requests & invoice queries. This role will require a keen eye for detail and a high work ethic to ensure no stock issues in a fast-paced office environment. Training will be provided.

Key Responsibilities:

  • Responsible for daily ordering for Kingsbridge Healthcare Group. You will help create and adhere to efficient processes to manage the receipt, location, and distribution of all goods delivered to Kingsbridge Healthcare Group. Reporting of any shortages or damages in a timely manner to the Supplier to be dealt with. Sage 200 is the stock control system used within the Group. It is essential this is kept up to date and accurate to ensure efficient stock control.
  • Responsible for keeping Happyfox ticket system up to date and ensuring KPIs are being met. The Happyfox ticket system is used within Kingsbridge Healthcare Group to manage internal orders and requests. The Procurement Administrator will help ensure this is providing an efficient service to staff of all levels throughout the group.
  • Undertake replenishment and/or re-ordering of stock items as agreed with management. The Procurement Administrator will be responsible for the replenishment of stock to various stores throughout the group. The Procurement Administrator should liaise constantly with the Stores team about stock levels, re-ordering, stores stock listings, returns and any delivery discrepancies. These will then be actioned and solved. 
  • Responsible for chasing orders and ensuring we are prepared for any delays. Shortages/Issues will be reported to relevant staff/management to ensure no ‘stock outs’.
  • Help to organise and participate in the Group stock takes. 
  • Take part in implementation of scanning system (Sage warehousing) to improve stock control within the group.
  • Implement Cost Savings & avoidance where possible to contribute to Procurement Team targets.
  • Report on KPIs where needed.
  • Communicate orders/issues effectively with suppliers. May be required to meet suppliers to discuss business. May also be required to help rearrange stores to ensure the highest level of efficiency possible.

 

Communication & Relationships Skills:

  • Communicate effectively with all levels of staff throughout the group via phone & email.
  • Communicate effectively with suppliers via phone & email.

 

Responsibility for Policy/Service Development

  • Responsible for following and adhering to policies specific to Procurement and Stores.
  • Identify areas for improvement and liaise with line manager regarding how things could be managed differently/better.

 

Responsibility for Information Resources

  • Ensure the efficient running of the business by undertaking any other reasonable duties as required from time to time.

Person Specification:

Essential criteria:

  • 5 GCSE grades A-C including Maths and English or equivalent.
  • A minimum of 1 years’ experience in a similar role.
  • Use of Microsoft Office applications, in particular Microsoft Excel.
  • Motivated and enthusiastic
  • Commitment to ongoing development
  • Willingness to provide flexible cover as and when required
  • Ability to work as part of a team
  • Ability to work on own initiative

 

Desirable criteria:

  • Full clean driver’s License
  • Previous experience in private healthcare. 
  • Use of Sage 200.
  • Previous experience with a ticket ordering system.
  • Previous experience with Microsoft Teams.
